Child Protection Policy

East Grinstead Music and Arts Festival provides people with an opportunity to perform in public and receive a high quality adjudication.

Where parents are not attending with their children, we draw their attention to all aspects of this Child Protection Policy. We require them to be satisfied that their children will be accompanied to the festival and adequately supervised by responsible adults acting on their behalf.


Aim of the Policy

The committee recognise that they have a duty to provide a caring environment for the festival. They will ensure that any venue that is used has appropriate facilities and that there is suitable regulation of all festival personnel, who are all volunteers.

Policy

In this policy document:
  • ‘Child/children’ applies to young people up to the age of 18 and vulnerable adults.
  • ‘Parent(s)’ should be taken to mean parent, guardian or carer.
  • Festival personnel are chosen on personal recommendation.
  • The committee will keep a register of all personnel working at the festival, to include the home address and telephone number. These records will be held in the Festival Office.
  • Everyone working at the festival will be clearly identifiable by a badge.
  • If anyone has a concern related to Child Protection, please speak to one of the festival personnel. Anyone wearing a festival badge (either white or blue) may be approached in case of a problem. You will be directed to your Section Secretary, who is the person responsible for dealing with child protection issues in their section. All problems will be dealt with sympathetically; they will be carefully documented and dated.
  • This policy will be published in the syllabus and programme. Copies will be available at the festival.
  • The festival has a strict policy on access to changing rooms; parents and teachers only may enter. Parents and teachers are reminded that the safety of the children is their responsibility during the festival.
  • There will be strictly no photography at the festival except by the Local Press.
  • Where parents do not wish photos to be taken, the responsible adult(s) attending with children have the duty of ensuring that the children are not included in any photos.
  • Any member of the Public using a camera or recording device will be asked to leave the venue. Please see Note 6 in the General Rules.
  • The festival committee will review the policy annually and will look to the British and International Federation of Festivals for support.
  • The Chairman of East Grinstead Music and Arts Festival is the Responsible Person, charged with the implementation of this policy.

Notes to accompany Child Protection Policy
  • All committee members and any personnel who are going to have substantial one-to-one contact with children will be required to undergo an enhanced check by the Criminal Records Bureau (CRB), to ensure that they are not on the Protection of Children Act List.
  • The committee will appoint a person who will be responsible for checking documents for the CRB. Forms will be supplied by the British and International Federation of Festivals (BIFF), which is our ‘umbrella organisation’. On receipt of completed forms BIFF will arrange the CRB checks.
  • The committee will ask all personnel working at the festival to sign in and out.
  • All competitors, accompanying adults and visitors to the festival will be expected to check in at the Festival Front Desk on arrival.
  • Everyone attending the festival will be issued with a colour-coded sticker.
  • Access to Chequer Mead Arts Centre, which is not related to festival events, will be regulated by Chequer Mead administration.
  • Please remember that no child should attend the festival without a responsible adult, who has a duty of care for that child.
